Introduction
We value everyone who engages with us by whatever means, and we do all we can to protect your privacy and to make sure the personal data you provide us is kept safe.
This Privacy Notice is designed to comply with the General Data Protection Regulation (GDPR) and is issued in the interests of transparency over how we use (“Process”) the Personal Data we collect.

Your information
We collect personal information each time you deal with us, for example when you enquire or sign up for music tuition or otherwise provide your personal details. This could include your name, contact address, email address, telephone numbers, child’s name, school, year group/class and instrument taught.
When you visit our website
We collect non-personal data such as IP addresses, details of pages visited and files downloaded. Website usage information is collected using cookies (see the section on Cookies below). If you provide us with any personal data while using our website we may use it to provide you with any information or services you have requested.

- Keep you informed of your child progress in their music lessons e.g. reports.
- Inform you of timetable arrangements for your child.
- Send invoices for your child’s lessons.
- Provide a personalised service, such as personalised emails relevant to your child’s lessons.
- Keep records of your relationship with us e.g. questions you have asked or suggestions or complaints you have made.
- Comply with legal and regulatory requirements pursuant to the legitimate interest of our business.
Our legal basis for holding and processing your personal data
Contract: Contacting you
We may contact you by post, email, SMS or telephone in order to fulfil our contractual obligations to you or to discuss lessons prior to their provision when you contact us. For example, to discuss your child’s lessons, provide invoices, send information about lessons when requested or discuss the availability of spaces for lessons. Upon termination or end of the contract, we will no longer use your data as it will only be used for the provision of a contract.
Legitimate Interest
It is necessary for the purposes of our legitimate interests as a business. In these cases, we will do so in a way which might reasonably be expected from our relationship with you, and which does not impact materially on your fundamental rights, freedom and interests. We will not process your personal data on this basis if we believe your rights override ours. Instead, we may seek your specific consent, and/or another legal basis.
How long we store your information
We will keep your personal information only for as long as we consider it necessary to carry out each activity. We take account of legal obligations and accounting and tax considerations as well as considering what would be reasonable for the activity concerned.
For example, we will retain details of payments for 7 years to meet tax and accounting requirements, and we will retain any safeguarding records indefinitely.

How safe is the personal information we hold?
We ensure that we have appropriate technical controls in place to protect all the personal data you provide. For example, we ensure that any online forms are encrypted so that they can only be read by people permitted to do so. All our devices holding data are password protected.
Where we store your personal information
We use cloud-based systems to process data and therefore data may be processed outside of the European Economic Area (EEA). We adopt the Information Commissioners approved measures and therefore ensure that personal data is held in compliance with European data protection regulations. We take all reasonable steps to ensure that your data is stored and processed securely in accordance with this policy. By submitting your personal data you agree to this transfer, storing and processing of your information.
When we share your information
We do not share your information apart from the following circumstances,
- Accounting software company
- Examination boards
Legal duty
We may need to pass on information if required by law or by a regulatory body. For example, an audit by the HMRC, or if asked for details by a law enforcement agency.
Your rights and telling us when things change
We fully recognise your right to have your data removed, to be forgotten, rectified, to opt out of communications or withdraw consent and to have a copy of your personal data. You also have the right to lodge a complaint with the Information Commissioner’s Office at https://ico.org.uk

Preferences
You can change your preferences, rectify, request removal or a copy of your data at any time about what you receive from us or how we contact you, by emailing us at music@niabennett.co.uk
Updating your details
We do appreciate it, if you keep your details up to date. You can do so in the same way as updating your preferences (above).
We may use Royal Mail’s Postcode Address File or other available sources to confirm data that you provide us with, where, for example, we are unsure of what you have completed on a form.
We will not use these sources to create data that you have chosen not to provide, for example, if you have left a telephone number blank; nor will we automatically update changes of address. We will normally only update your address when you tell us it has changed.
Telling us to stop processing
You have the right to ask us to erase your personal data, to ask us to restrict our processing or to object to our processing of your personal data. You can do so at any time by emailing us at music@niabennett.co.uk
Access to your information
You have the right to request details of the information we hold about you. To receive a copy of the personal information we hold please email our Data Controller at music@niabennett.co.uk. Changes to this Policy
This policy was last updated in May 2018. We may amend this policy from time to time to take account of changes to our processes or changes to data protection or other legislation. If we make any significant changes to this policy, we will show this clearly on our website or by contacting you directly. This policy is reviewed annually. By continuing to use our website you will be deemed to have accepted these changes.
